Training Registration & Attendance Policy
Governing Entity: Alvernex Industries Pte. Ltd. ('ALX')
1. Website Booking & Payment Process
All registrations initiated via www.alvernex.com are initially recorded as On-Hold. A registration is a formal request and does not guarantee a seat until payment is verified.
1.1 Accepted Payment Methods & Verification
A seat is officially moved to Processing status (secured) only when one of the following is verified:
- Bank Transfer / PayNow: Full payment received with transaction reference.
- Credit Card: Online payment via secure gateway.
Note: All credit card transactions are subject to a non-refundable processing fee (approx. 3%–4%) and a standard administrative fee.
- Corporate Purchase Order (PO): A valid PO approved by our finance team.
1.2 Class Confirmation Status
A "Processing" status secures your individual seat but does not guarantee the class will run.
- Official Confirmation: A class is considered Confirmed once it meets the minimum participant count.
- The Info-Kit: Upon confirmation, you will receive an Official Info-Kit. This is the formal notification that the class will proceed as scheduled.
1.3 Pre-Confirmation Withdrawal & Refunds
- Before Info-Kit Issuance: Entitled to a 100% refund of the course fee.
- Non-Refundable Costs: Administrative fees and credit card processing charges are strictly non-refundable.
- After Info-Kit Issuance: Once the Info-Kit is issued, the class is committed and standard withdrawal penalties apply.
2. Payment & Corporate Orders
- Payment Due Date: For Bank Transfers, payment must be made within 3 business days of booking and no later than 7 business days before the course commences.
- Payment Reference: You must include your Order Number in the transfer remarks.
- Corporate POs: Digital copies must be emailed within 3 business days. Organizations agree to be legally bound by these Terms upon PO submission.
3. Withdrawal, Refund, and Transfer (Post-Confirmation)
Once the Official Info-Kit is issued, the class is committed:
- Finality: Bookings are final. Refunds are not accommodated unless specified under partner-specific terms.
- ISA Penalty Clauses: For ISA courses, cancellations with less than 90-days notice incur a 50% penalty fee.
- Substitution: You may nominate a substitute at no extra cost if notified in writing at least 7 business days prior to start.
4. Attendance & Conduct
- No-Shows: Participants who fail to attend are not eligible for a refund or credit.
- Attendance Threshold: Minimum attendance (typically 75% or 100%) is required for certification.
- Professional Conduct: ALX reserves the right to remove any participant for disruptive behavior without refund.
5. Intellectual Property & Media
- Ownership: All course materials—including presentations and handouts—are the protected intellectual property of ALX, ISA, or partners.
- Media Consent: Photography by participants is prohibited. ALX reserves the right to use footage taken for marketing purposes. To opt-out, please inform the instructor in writing.
Data Protection Notice

This Data Protection Notice (“Notice”) sets out the basis which Alvernex Industries Pte. Ltd. (“we”, “us”, or “our”) may collect, use, disclose or otherwise process personal data of our customers in accordance with the Personal Data Protection Act (“PDPA”).
1. Personal Data
As used in this Notice:
- “customer” means an individual who (a) has contacted us through any means to find out more about any goods or services we provide, or (b) may, or has, entered into a contract with us for the supply of any goods or services by us.
- “personal data” means data, whether true or not, about a customer who can be identified: (a) from that data; or (b) from that data and other information to which we have or are likely to have access.
Depending on the nature of your interaction with us, examples of personal data we may collect include name, residential address, email address, telephone number, nationality, gender, date of birth, employment information, and financial information.
2. Collection, Use and Disclosure
We generally do not collect your personal data unless it is provided to us voluntarily by you directly or via a third party who has been duly authorised by you (your “authorised representative”).
2.1 Purposes of Collection
We may collect and use your personal data for the following purposes:
- Performing obligations in connection with our provision of requested goods/services;
- Verifying your identity;
- Handling queries, requests, applications, complaints, and feedback;
- Managing your relationship with us and processing payments;
- Complying with applicable laws and assisting in law enforcement;
- Transmitting to unaffiliated third parties and agents for the aforementioned purposes.
3. Legitimate Interests Exception
In compliance with the PDPA, we may collect, use or disclose your personal data without your consent for legitimate interests, provided the benefits outweigh any adverse effects on the individual. This includes:
- Fraud detection and prevention;
- Detection and prevention of misuse of services;
- Network analysis to prevent fraud and financial crime;
- Prevention of data loss on company-issued devices.
4. Withdrawing Your Consent
Your consent remains valid until withdrawn in writing. Please note that withdrawing consent may result in us being unable to continue providing goods or services to you. We seek to process withdrawal requests within thirty (30) business days.
5. Access and Correction
If you wish to make an access request or a correction request, please submit it in writing to our Data Protection Officer. Note that a reasonable fee may be charged for access requests.
6. Protection and Retention
We have introduced appropriate administrative, physical, and technical measures (such as encryption, 2FA, and access controls) to safeguard your data. We retain personal data only for as long as necessary to fulfil the purpose for which it was collected or as required by law.

Refund, Transfer & Deferment Policy

General Policy Statement
ALX reserves the right to:
- Revoke any stated offer and correct any errors, inaccuracies, or omissions.
- Make changes to prices, content, promotional offers, or specifications without obligation to issue notice (including after an order has been submitted).
- Revise, suspend, or terminate an event or promotion at any time without notice.
- Adjust or restrict access to information on the ALX website.

Withdrawal Prior to Class Confirmation
- Course Fee: A 100% refund of the course fee is available upon voluntary withdrawal.
- Rescheduling: Trainees may join the same class on a different date, subject to availability.
- Exemptions: Credit card charges and a standard Admin Fee of $50 are non-refundable.

Post-Confirmation Policy
Class is Confirmed once the Official Info-Kit is issued.
- Refunds: No refunds are provided after class confirmation.
- Replacements: Participant substitution is permitted on a case-by-case basis, subject to approval and a $50 Admin Fee.
- Restrictions: Date transfers or changes to another course are not permitted after confirmation.

Non-Refundable Items
The following are strictly non-refundable:
- Digital content and 3rd-party module licenses once issued.
- Administrative fees (S$50.00).
- Bank commissions and payment gateway transaction fees.

ALX Cancellation & Postponement
If ALX postpones a course twice within a reasonable timeframe and is unable to proceed:
- Refunds: 100% course fee refund (Credit card charges remain non-refundable; no Admin Fee applies).
- Credit: Fees may be held as credit for any course within one (1) year.
- Course Change: Switch to another course of equivalent value (top-up required if applicable).

SSG Funding & Assessment (Clawback)
- Requirements: Trainees under SSG-funded programs must meet 75% attendance and pass the assessment.
- Re-assessment: Failure to pass may opt for re-assessment at a fee (includes partner admin costs).
- Liability: If requirements are not met, the subsidy is voided. The Trainee/Company remains legally liable to pay the FULL (Gross) Course Fee to ALX.

Taxes & GST Calculation
- Current Status: ALX is currently not GST-registered. All fees are net.
- Future GST: Upon GST registration, tax will be calculated based on the Gross Course Fee.
- Example: Course Fee ($1,000) + 9% GST ($90) = Total $1,090. The trainee pays the Course Fee (after subsidy) + Full GST.

Academic Excellence & Faculty
Trainer Quality Policy

1. Purpose
The quality of training at ALX is directly linked to the expertise of our educators. This policy ensures that all trainers possess not only the pedagogical skills required by national standards but also the deep-domain industrial experience necessary to teach complex automation systems safely and effectively.
2. Minimum Trainer Qualifications
To be appointed as a Trainer or Assessor at ALX, an individual must meet the following three-tier criteria:
2.1 Industrial Experience (The "Practitioner" Requirement)
ALX prioritizes real-world competency. Every trainer must demonstrate:
Minimum 5 to 10 Years of Industrial Experience: Candidates must have a proven track record in relevant sectors (e.g., Industrial Automation, Robotics, Control Systems, or Manufacturing).
Subject Matter Expertise: Trainers must possess technical qualifications (e.g., Degree/Diploma in Engineering) or industry certifications (e.g., ISA, Siemens) specific to the modules they deliver.
2.2 National AE Registry Compliance (SSG Mandate)
In accordance with the Training and Adult Educator Professional Pathway (TAEPP) effective 1 April 2026:
Registry Status: All trainers delivering SSG-supported programs must be registered on the National Adult Educator (AE) Registry.
Mandatory Certification: Trainers must hold a valid ACLP (Advanced Certificate in Learning and Performance), ACTA, or an SSG-recognized equivalent.
2.3 Continuing Professional Development (CPD)
To ensure trainers remain current with fast-evolving automation technologies (such as AI-driven robotics and IIoT), all ALX trainers are required to:
Complete at least 40 CPD hours every two years.
Clock at least 80 practice (teaching) hours every two years to maintain their registry status.
Participate in at least one industrial attachment or solutioning project per year to keep their field skills sharp.
3. Trainer Selection & Onboarding
Verification: ALX Management will conduct rigorous background checks, including verification of employment history and technical certifications.
Demonstration: Shortlisted trainers must conduct a "Teaching Demonstration" observed by the ALX Senior Management to evaluate their ability to simplify complex technical concepts.
Ethics: Trainers must sign and adhere to the ALX Marketing Code of Conduct and WSH Policy.
4. Performance Monitoring
ALX utilizes the TRAQOM (Training Quality and Outcomes Measurement) system to monitor trainer performance:
Survey Results: Trainers are expected to maintain a minimum satisfaction rating of 75% in TRAQOM surveys.
Annual Review: Management will conduct an annual performance review for each trainer, focusing on learner feedback and adherence to assessment moderation standards.
Corrective Action: Trainers falling into the lowest quantile of quality ratings will undergo a mandatory "Improvement Period" and coaching before being allowed to resume training.
Assessment and Moderation Policy

1. Purpose
This policy establishes the framework for conducting fair, valid, and consistent assessments. It ensures that every trainee awarded an ALX or partner certification has genuinely met the required competency standards in industrial automation.
2. Assessment Principles
All ALX assessments must adhere to the four principles of assessment:
Validity: The assessment measures the specific technical skills and knowledge defined in the course curriculum.
Reliability: Assessment results are consistent across different trainees, different trainers, and different time periods.
Fairness: The individual learner's needs are considered, provided the integrity of the competency standard is not compromised.
Flexibility: Assessment methods are adapted to the context of the automation environment (e.g., combining theory with practical PLC "live" testing).
3. Conduct of Assessment
3.1 Pre-Assessment Briefing
Before any assessment, the Trainer/Assessor must brief trainees on:
The methods of assessment (Written, Practical, or Oral).
The criteria for "Competent" vs. "Not Yet Competent" (NYC).
Safety protocols, especially when interacting with robotic arms or energized conveyors.
The Appeal Procedure (as outlined in the ALX Dispute Resolution Policy).
3.2 Practical Assessment (Industrial Equipment)
For modules involving PLCs, robotics, motors or industrial equipment:
Safety First: The Assessor has the right to immediately stop an assessment if a trainee’s actions pose a risk to themselves, others, or the equipment.
Environment: The assessment must take place in an environment that simulates real-world industrial conditions.
3.3 Assessment Results
Results must be recorded accurately and uploaded to the training management system within 7 days of the assessment date.
4. Moderation Process
Moderation is the process of "checking the checkers." It ensures that our trainers are marking to the same standard.
4.1 Internal Moderation (Pre-Check)
Material Validation: Before a new course is launched, the Senior Management team must review assessment papers and practical checklists to ensure they align with learning outcomes.
4.2 Internal Moderation (Post-Check)
Sampling: Every quarter, ALX Management will select a random sample (e.g., 10%) of marked assessment scripts.
Verification: A second qualified trainer (the Moderator) will review the scripts to ensure the original marking was fair and consistent.
Discrepancies: If a significant variance is found, all scripts from that batch must be re-evaluated, and the Trainer must undergo a competency review.
4.3 External Moderation
For 3rd-party programs (e.g., ISA), ALX will comply with the moderation and audit requirements set by the partner organization.
5. Integrity and Academic Honesty
Plagiarism/Cheating: Any trainee found cheating, using unauthorized aids, or plagiarizing project work will be disqualified immediately and marked as "NYC."
Conflict of Interest: Trainers must disclose if they have a personal relationship with a trainee. In such cases, a different Assessor must conduct the assessment.
6. Records Management
In compliance with SSG requirements:
ALX shall maintain all assessment records (marked scripts, attendance, and result slips) for a minimum of three (3) years (or longer if specified by the partner organization).
Feedback & TRAQOM Policy

1. Commitment to Quality Improvement
ALX is committed to a culture of continuous improvement. We utilize learner feedback to refine our industrial automation curriculum and ensure our training remains industry-relevant.
2. TRAQOM Survey Participation
In compliance with SSG regulations, all learners attending SSG-funded courses at ALX are required to participate in the Training Quality and Outcomes Measurement (TRAQOM) initiative.
The Quality Survey: Conducted on the final day of the course via a QR code provided in class.
The Outcomes Survey: Sent via email/SMS approximately 90 days after course completion to measure career impact.
3. ALX Data Integrity Requirements
To ensure the integrity of the TRAQOM system, trainees must:
Provide a valid personal email address (corporate/shared emails are not permitted for TRAQOM).
Complete the survey independently. ALX staff and trainers are strictly prohibited from influencing your ratings or completing the survey on your behalf.
4. Feedback Loop & Action Plan
Quarterly Review: ALX Management reviews TRAQOM data and internal feedback forms every quarter.
Target Benchmarks: We aim for a minimum 75% response rate and a quality score above the national median.
Corrective Action: Any course run that receives a sub-par rating will trigger an internal audit of the trainer’s delivery and the courseware materials.
Safety & Ethical Conduct
Workplace Safety & Health (WSH) Policy

1. Policy Statement
ALX is committed to providing a safe and healthy environment for our employees, trainees, and partners. We believe that all workplace incidents are preventable. Our goal is to integrate safety into every aspect of our consultancy, solutioning, and training operations.
2. Scope of Operations
This policy applies to all activities conducted by ALX, including, but not limited to:
Technical Training: Operation of PLCs, robotic arms, conveyors, motor systems or industrial equipment.
Consultancy & Solutioning: On-site visits, system integration, and commissioning at client facilities.
3. Our Commitments
To achieve our safety goals, ALX Management commits to:
Legal Compliance: Complying with the Singapore WSH Act, Risk Management Regulations, and relevant Approved Codes of Practice (e.g., SS ISO 10218 for Robot Safety).
Risk Management: Conducting thorough Risk Assessments (RA) for all training equipment and on-site consultancy tasks to eliminate or control hazards.
Training & Competency: Ensuring all trainers and consultants are technically competent and WSH-aware.
Continual Improvement: Regularly reviewing our safety management system and incident reports to improve performance.
4. Safety Rules for Training & Equipment
When interacting with ALX training equipment (PLCs, Robotics, Conveyors etc), the following rules are mandatory:
4.1 Equipment Operation
Authorized Use Only: No trainee shall operate robotic arms, motor systems or any industrial equipment, without the express permission and supervision of an ALX trainer.
Emergency Stops (E-Stops): Trainees must be briefed on the location and function of E-Stops before the commencement of any practical session.
Safe Interaction: For robotic systems, trainees must remain outside the designated "Work Envelope" unless the system is in a safe/teaching mode as per SS ISO 10218 standards.
4.2 Lock-Out Tag-Out (LOTO)
Before performing any wiring on PLCs or mechanical adjustments to conveyors, equipment must be de-energized and verified safe.
4.3 Personal Protective Equipment (PPE)
Specific PPE (e.g., safety glasses, covered shoes) must be worn as directed by the trainer based on the Risk Assessment for that specific module.
Marketing Code of Conduct

1. Purpose
This Code of Conduct outlines the standards for all marketing, advertising, and promotional activities undertaken by ALX. It ensures that our communication is Legal, Decent, Honest, and Truthful, safeguarding the interests of our trainees and the integrity of the Singapore training ecosystem.
2. Prohibition of Third-Party Marketing Agents
In compliance with SSG regulations effective 1 December 2025:
Direct Marketing: ALX shall not engage, request, or procure any third-party marketing agents to promote, advertise, or market courses directly to learners.
In-House Responsibility: All marketing and recruitment activities must be conducted by ALX’s internal staff.
Data Privacy: Third parties are strictly prohibited from accessing learner data or contacting prospective trainees on behalf of ALX for marketing or sign-up purposes.
3. Ethical Marketing Standards
3.1 Truthful Representation
All promotional materials must accurately represent the course content, duration, fees, and intended learning outcomes.
We shall not make false or exaggerated claims regarding job placement guarantees or "wealth creation" through our courses.
The term "Singapore" or national symbols shall not be used in a way that implies government endorsement where none exists.
3.2 Prohibition of Incentives
No "Cashbacks" or Gifts: ALX shall not provide, or offer to provide, any person with discounts, awards, rewards, gifts, vouchers, or anything of monetary value to incentivize course sign-ups or referrals.
No Lucky Draws: Conducting lucky draws or similar schemes to attract learners is strictly prohibited.
3.3 Anti-Annoyance & Public Nuisance
Marketing must not be conducted in a manner likely to cause annoyance or contravene the Miscellaneous Offences (Public Order and Nuisance) Act. This includes aggressive "cold calling" or spamming via messaging platforms (WhatsApp/Telegram).
4. Technical & Certification Claims
Given our focus on Industrial Automation and partnerships (e.g., ISA, Siemens):
Accuracy of Partnerships: We must clearly distinguish between ALX-authored courses and those delivered as a "Training Partner" for third-party organizations.
Prerequisites: Marketing materials must clearly state the minimum proficiency or technical background required for a course to ensure learners are not enrolled in programs they are unqualified for.
5. Digital & Social Media Conduct
All digital advertisements must be clearly identifiable as "Advertisements" or "Sponsored Content."
Testimonials must be from bona-fide users and reflect typical user experiences. Testimonials from non-users or celebrities must be clearly disclosed.
GST Transparency: All prices advertised must be the final price payable. Once ALX is GST-registered, all advertised prices must include GST or show both before-and-after GST prices clearly.
6. Monitoring and Compliance
Management Review: All new marketing collateral (brochures, website updates, social media ads) must be reviewed and approved by the ALX Management Team before release.
Reporting Misconduct: Any employee who observes non-compliant marketing practices must report them via the ALX Grievance Procedure.
Consequences: Violation of this code may result in disciplinary action, up to and including termination of employment, and may lead to the suspension of ALX's status as a Registered Training Provider by SSG.
Grievances & Appeals
Student Grievance & Dispute Resolution Policy

1. Purpose and Scope
ALX is committed to high-quality training. This policy provides a transparent process for trainees to raise concerns regarding academic results or service experiences.
2. Assessment & Examination Appeal Procedure
Dissatisfaction with an ALX-conducted assessment grade must be handled through this formal appeal process within 14 working days of result release.
2.1 Filing an Appeal
- Submission: Trainees must submit a formal appeal via our contact channel.
- Appeal Fee: A non-refundable Appeal Fee of $50 is required at the time of submission.
- Exemptions: Appeals for external certifications (ISA, INCIT, etc.) are excluded.
2.2 Review and Outcome
- Investigation: ALX Management will review the assessment and notify the trainee of the outcome via email.
- Successful Appeal: If the result is overturned, the certificate will be issued and the $50 appeal fee will be refunded.
- Unsuccessful Appeal: The fee is forfeited. Trainees may choose to re-sit the assessment or retake the course at prevailing fees.
3. General Grievance Procedure
For non-academic concerns (e.g., service quality or facilities), ALX Senior Management takes feedback very seriously. Participants are required to provide objective evidence (photos, emails, or documents) to support their feedback.
- Informal Resolution: Attempt to resolve the issue "on the spot" with the person in charge.
- Formal Escalation: If unresolved, submit a formal grievance. ALX will respond within three (3) working days.
- Management Review: Unresolved issues will be escalated to the ALX Management Team for a final internal resolution proposal.
- External Dispute Resolution: If internal resolution fails, the dispute may be referred to the SSG Singapore Mediation Centre or Small Claims Tribunals.
4. How to Submit a Grievance

- Full Name, Contact Number, and Order/Invoice Number.
- Course Title and Date.
- A detailed description of the grievance with supporting evidence.
Confidentiality: All grievances are handled strictly without prejudice to the trainee.
